Switching from Zoho

Most people arriving from Zoho are not unhappy with the price. They are unhappy with two or three specific things, and they are usually the same two or three.

The move itself

  1. Add your domain and create the same mailbox addresses you have now.
  2. Copy the mail across over IMAP. Zoho needs an app-specific password for this.
  3. Import customers and items from CSV. Your Zoho exports work as they are.
  4. Set your numbering series to continue where Zoho stopped, so your sequence is unbroken across the move.
  5. Switch the MX record last, then run the mail migration once more to collect the final messages.

Nothing needs to happen in one weekend. Mail and invoicing can move at different times.

Things that work differently

AliasesFree and unlimited here, and a mailbox can send from any of them with its own signature. Zoho charges per user for what is often the same need.
StatementsWe have statements of account with ageing and a schedule. This is one of the things people most often arrive asking for.

Things Zoho does that we do not

Zoho is a suite of fifty applications. If you use their CRM, their helpdesk and their project tool together, we are not that, and pretending otherwise would waste your time. We do mailboxes and the money side of a business, properly. Time tracking, full double-entry books and a general ledger are not here yet.

Keeping your numbering

Set the series prefix and the next number in Settings → Numbering before you issue your first document. An unbroken sequence across a software change is something an inspector will look for, and it takes thirty seconds to get right.

Will my Zoho mail come across with folders intact?

Yes, over IMAP, with folders, read state, flags and original dates. Filters do not transfer — no IMAP migration can move those.

Do I have to move mail and invoicing at the same time?

No. They are separate. Plenty of people move the invoicing first and the mail months later, or the other way round.
