Stock tracking
Invoicing goods you do not have is discovered by the customer, not by you — and by then the invoice has a number and cannot be deleted.
Switch it on in two places
First Settings → Stock → Keep track of stock. Then, on each item you actually want counted, tick Keep stock for this. Nothing is tracked by default, and tracking is not guessed from "is it a service": plenty of goods are not worth counting, and some services have a limited number of hours that are.
Where the warning appears
- While you are writing the invoice. A panel under the lines lists what is short, with what you have and what the document asks for. It updates as you type.
- When you press Issue. The real check, on the server.
- On the document afterwards, if you issued anyway — the activity feed records that it went out short.
Warn or block
Blocking is off by default. Businesses that sell to order invoice goods they have not received yet, every day, and a hard stop would get in their way from the first hour. Turn blocking on when your business is one where invoicing without the goods is always a mistake.
When blocking stops an issue, no invoice number is consumed. The check runs before the number is taken, precisely so that a refused issue does not leave a gap in your series. Fix the stock, press Issue again, get the number you would have had.
When it goes negative anyway
With blocking off, issuing takes the goods out even if that pushes the balance below zero, and the stock screen shows it in red. We do not refuse the movement at that point: the document already has a number, so it has been issued. An invoice with no stock deduction behind it is a quiet lie in the ledger, and a visible negative is better than an invisible error.
Voiding puts it back
Void the invoice and the goods return — reconstructed from the movements we actually wrote, not from the current lines, because lines can be corrected in between.
Reserved versus on hand
The screen shows both. Available is what is on hand minus what is already promised. The shortage check looks at available, not at on hand — otherwise you would be told you have stock that is already spoken for.
Questions people actually ask
Why does my stock not go down when I issue an invoice?
One of three things: stock is off in Settings, the item is not marked as tracked, or the document is a quote. Quotes are promises, not deliveries, and never move stock.
Can stock go negative?
Yes, when blocking is off, and it shows in red. We prefer a visible negative to an issued invoice with no movement behind it.
Does a blocked issue use up an invoice number?
No. The stock check runs before the number is taken, so the series never gets a gap from a refused issue.
