Receipts, transfers and stock counts
Three short screens, because the person receiving goods is standing at a door, not sitting at a desk.
Receiving
Stock → Receive. Pick the warehouse, the date, and list what came in with its unit cost. The cost matters: it moves the weighted average, which is what your margin is calculated from. A price typed wrong here shows up as a wrong margin three months later, when nobody remembers why.
Moving between warehouses
Stock → Move. Two linked movements are written, out of one and into the other. The cost travels with the goods, so moving something between your own rooms never changes your margin.
The outgoing side is blocked: you cannot move what you do not have. If it were allowed, the destination would show stock that was invented in transit.
Counting
Stock → Count. Type what you actually counted on the shelf — not the difference. We work the difference out and write it as an adjustment. A reason is required, and it is kept with the movement: in six months it is the only thing that explains the gap. "Stock count", "breakage", "theft", "correction" are all fine; blank is not.
Warehouses
The first one is created for you the first time you receive anything — nobody should have to configure a warehouse before they can invoice. Add more when goods genuinely sit in different places. A warehouse holding stock cannot be archived: it would make that stock invisible without it having gone anywhere, which is exactly the kind of loss you only find at a count.
Reorder points
Set one per item and warehouse. Below it, the row is flagged and the "only what needs restocking" filter picks it up. Leave it at zero and the flag appears when you reach zero, which is the sensible default for most things.
The history
Every movement is kept, and never edited or deleted — a correction is a new movement in the opposite direction. Each row carries the balance after it, so you can answer "what did I have on 3 March?" without adding up the whole history. Open any item's History from the stock screen.
Questions people actually ask
Can I edit a stock movement I entered wrong?
No. A register you can rewrite is not a register. Enter a correcting movement — the count screen does exactly this, from what you actually counted.
Why does a transfer not change my margin?
Because the cost moves with the goods. If it did not, your margin would change depending on which room the item was sitting in, which would be nonsense.
Do I have to use warehouses?
No. One is made for you automatically and you can ignore the concept entirely. It only appears in the interface once you have a second one.
