The company stamp

In the Gulf, in much of Asia and for plenty of old-school accountants, an invoice without a stamp gets questioned. Here is one you do not have to print, stamp and scan.

Make it

Settings → Company stamp. Pick a shape — round, oval or rectangular — an ink colour, and what it says. Leave the text fields empty and they take your company name, tax number and city from your settings, which means the stamp stays correct when you move office or change the VAT number. Tilt it a few degrees: a perfectly straight stamp reads as a logo, because nobody presses one perfectly straight.

Put it on documents

One switch. It lands bottom right, under the totals, on invoices, quotes and delivery notes, and it prints — unlike our own small badge, which does not.

Take the file

Download it as a PNG with nothing behind it, about a thousand pixels across, or as SVG. The transparent background is the part that matters: a scan on white paper covers whatever is under it on the page. Use the file in Word, in a contract drafted somewhere else, or send it to whoever cuts rubber stamps.

It is drawn, not scanned, and that is on purpose. A scan brings the paper background with it, blurs when printed, and weighs more than the rest of the document. Drawn, it is under two kilobytes and prints cleanly at any size. If you already have a stamp your customers recognise, you can upload it instead — we do not stop you.

What it is not

A stamp is not a signature and carries no legal weight on its own, anywhere. Across most of Europe it stopped being required years ago. What it does is look official to people who expect it, and save you a trip through a printer and a scanner. For something that does hold up — with an audit trail and a tamper-evident fingerprint — use electronic signatures.

Questions people actually ask

Does a stamp make my invoice more legally valid?

No. An EU invoice is valid without one, and in Romania the requirement was dropped in 2015. It is about expectation, not law — but in several markets that expectation is real and costs you time.

Can I use my existing scanned stamp?

Yes, upload it instead of the drawn one. Use a PNG with a transparent background — a scan on white will cover whatever sits under it on the invoice.

Will the stamp show on the e-invoicing XML?

No. The XML is structured data for machines; a stamp is a picture for people. The PDF and the portal page carry it, the XML does not.
